Accounting Manager - Rentals

The position is responsible for the accounting functions and standard operating procedures for the WVR NA – South Carolina (Oceana) Property Management System(s) which include sales, revenues, accounts receivables and payable, and general operating functions.
Scope of responsibility consists of analytical problem solving, monitoring revenue and expense contracts including Homeowner agreements, advertising/promotions, and travel agent/wholesale distribution agreements. Assist in the design and development of the PMS software programing upgrades and monitoring implementations. Direct and manage a team of 2 accounting operations staff members based in the same location.
PMS Accounting Operations
Foster a team environment and improve communications with WVR SC operations and WVR NA HQ groups Develop, implement and monitor compliance with standard operating procedures for all WVR NA South Carolina (Oceana) Property Management Systems (RDP) Review and monitor revenue and expense contracts in the PMS; ensure PMS systems are configured to capture, record, and recognize revenue and expense transactions in accordance with US GAAP Establish period closing checklists and calendar, and direct and manage the WVR SC accounting staff through month end closing process for the property management systems to ensure financial and non-financial information is timely captured in the WVR NA financial reporting systems Direct/coordinate recognition and payment of homeowner and vendor liabilities Direct/coordinate recognition and collection of third party accounts receivables; address collectability of balances and work with the WVRNA HQ Accounting Manager to establish appropriate provisions for uncollectible receivables Ensure compliance with policies and procedures for use of operating and trust bank accounts; direct and manage operating and trust cash accounts to ensure compliance with trust regulations; ensure all bank accounts used in PMS operations are regularly monitored and reconciled Manage the PMS accounts framework to ensure NA Rental’s financial statements are presented accurately and consistent with US GAAP presentation requirements Challenge current processes to promote continuous improvement and efficiencies; remove manual intervention where possible, and develop standardized processes and PMS configuration.
Financial Reporting & Decision Support
Collaborate with General Manager, WVR SC Controller and WVR NA HQ FP&A group to ensure operating statistics and financial targets are established for forecasting and budgeting processes Monitor actual to forecast/budget variances, and provide the necessary explanations as to cause of the variances, and where appropriate, input into remediation steps required to achieve target.
Indirect Taxes & Regulatory Reporting
Ensure compliance with sales and lodging tax regiments for Myrtle Beach; ensure appropriate tax assessment, collection of taxes at point of sale, and timely and accurate remittance of such taxes to governmental jurisdictions Timely identify, investigate and monitor unclaimed property, including timely and accurate updates of status of unclaimed funds to the WVR NA HQ coordinator Direct and manage the issuance of the annual 1099 and 1042 FORM filings; address inquiries from the Internal Revenue Service timely and as necessary Ensure governmental inquiries and audits are coordinated and supported as necessary. Engage NA Rentals Controller and the WW Tax group if and when necessary.
Develop and enforce/monitor internal controls over financial reporting and compliance with standard operating policies and procedures.
As finance subject matter expert of the PMS applications, support the implementation of the Enterprise PMS for North Myrtle Beach operations; actively engage in all facets of the migration program to ensure finance operations are performed without disruption; continuously monitor and engage with the WVR NA Director of Accounting Operations to improve functional capabilities of the RDP application.
6+ years of operational accounting experience in a vacation rental/hospitality environment
Advanced knowledge of Property Management applications required
A bachelor’s degree in business or experience commensurate with the job requirements
Previous management experience with multi-locational operating structure, including hiring, managing and training resources helpful
Display of a high degree of credibility and gravitas and will command the respect of his/her peer group by a combination of inherent knowledge and their personal style
Strong communication skills (both verbal and written) are a pre-requisite as is the ability to develop relationships and to persuade and influence at all levels
Ability to operate effectively in a matrixed organization.
