Business Before, During, After Hours Host Contract Form 

Your responsibility as the host is to provide a facility for your event with hors d’oeuvres and beverages at no charge to the guests. Music and/or entertainment are at your discretion. The time frame of your event will depend upon whether you are doing a Business Before, During or After Hours. You will need to provide a PA system. During the event, you will be introduced by a chamber staff member and given time to welcome your guests and talk about your business. We also will draw three to five business cards for door prizes, provided by you. We will be glad to discuss any of the details of the event and may be reached by the information listed below.

If you are planning to have a co-sponsor, they must be a chamber investor. Contact the chamber for approval.

Prior to the event, the business development events manager will contact you to discuss details and set up an appointment for a brief site visit, if necessary. The chamber will take all RSVPs from its investors and provide you with the number of attendees for your catering purposes. The chamber will staff the registration areas to register the guests and provide them with name tags. You will need to provide a table with two chairs for registration near the entrance to the event. In appreciation for hosting the event, the chamber will provide you with a complimentary membership mailing list, a choice of an ad on the chamber’s website or directory pages, and all business cards collected at the event. You may also choose a nonprofit to highlight at your event. The nonprofit receives a table, usually next to registration, to display brochures and talk about their organization. The nonprofit must be an investor with Myrtle Beach Area Chamber of Commerce. See the full list in our business directory.

Submitting this form does not automatically confirm scheduling of the event. Our events manager will follow up with you by email or phone to confirm availability of your requested event date and officially add the event to the chamber calendar.

Please describe your business and be sure to include any new or exciting things happening within your business. This information may be used in promoting the event.

Host Responsibilities:

  • Provide high resolution logo (print ready) and a few photos of your business/products as a PNG or JPEG files
  • Provide indoor and/or outdoor facility for event
  • Provide refreshments including hors d’oeuvres and beverages (at least 2 complimentary beer and wine, soft drinks and water)
  • 3 to 5 door prizes
  • Provide for chamber registration staff: 1 table and 2 chairs
  • Introduce your key staff at event
  • Provide PA system for speakers

Chamber Responsibilities:

  • Provide host a choice of a one-month ad on the chamber’s website or directory (if requested)
  • Provide complimentary membership mailing list by email (if requested)
  • Collect and manage event registrations
  • Provide registration count to host
  • Staff registration tables at event and checkin guests
  • Provide business cards collected at the event to the host
